Job Description


The Unit Administrative Assistant is responsible for working as an OACIS team member in a community crisis center setting that serves all members in the community through a supportive, hopeful, empathic, and engaging environment for persons served/families seeking help with crises. The Unit Administrative Assistant offers support to OACIS staff so that all required administrative functions are completed on behalf of the team through performing general clerical duties and data entry.


Follows the direction of the Associate Program Manager to complete the following job functions:

* Organizes and prepares the necessary paperwork for referrals from external providers.
* Verifies insurance of each person referred from external providers (e.g. EDs) and those presently on the OACIS unit.
* Maintains open communication with Crisis Interventionist III's and assists in obtaining information necessary to complete insurance authorizations and follow up steps.
* Checks status with Core Provider Agency in the EHR
* Notifies the Core Provider Agency of a person served presence on the unit or the receipt of a referral for OACIS services (e.g. those waiting in EDs).
* Manages and confirms incoming and outgoing fax correspondence to ensure appropriate parties receive documentation.
* Answers phones and provides information or forwards calls to appropriate staff members
* Ensures timely completion of relevant documentation
* Assists in locating appropriate resources for persons served (i.e., locating a hospital bed that is available).
* Completes BH TEDS entries, as applicable, before the person served leaves the unit.
* Manages Hospital refusal log (State log).
* Completes the Referral Log in real time
* Ensures paper forms are available and up to date
* Works effectively with supervisors, knowing when to ask for help, and when to take direction
* Refers to peers/colleagues as necessary for advice but maintain accountability and responsibility for decisions made.
* Works collaboratively with external customers and providers.
* During slow times, initiates assistance to other teams.
* Performs other duties as assigned.




* High school graduate or equivalent
* 2+ years of experience as a front office Medical Assistant
* Valid driver's license and clean driving record
* Previous hospital/medical experience preferred
* 6 months of prior job experience where substantial computer usage is significant part of job; OR 3 credit hours of computer classes in computer training (keyboard, navigation, specific applications) or college program, OR equivalent combination of coursework and experience
* Knowledge of medical terminology preferred (e.g., completion of medical terminology/transcription course of unit clerk/unit secretary classes, preferred)


* Demonstrates capacity to effectively communicate verbally and in writing
* Able to prioritize tasks for multiple people and complete them quickly.
* Demonstrates the ability to complete required documentation with high quality of content
* Demonstrates adherence to and understanding of confidentiality and release of information requirements
* Demonstrates ability to provide help and support to other members of the team, and to be proactive in offering additional assistance in challenging situations
* Demonstrates ability to request and receive help and support from other members of the team, and to be proactive in requesting additional assistance in challenging situations
* Ability to apply trauma informed principles and values with knowledge, decisions, and treatment of all people served
* Ability to work independently and apply critical thinking/decision making skills
* Able to work with a multi-disciplinary team successfully
* Ability to access information within the Michigan Mental Health Code, and Medicaid Provider Manual
* Proficiency in MS Office Word, Excel, Outlook
* The work environment may subject staff to behavioral and medical problems that could be physically hazardous.
* The Unit Administrative Assistant has minimal to no interaction with persons served, with primary function as a support staff member.
