Job Description


Provides administrative support services to the Manager and team members.


* Organize consumer charts in proper order for submission and review for unsigned documents. Notify appropriate staff of unsigned documentation.
* Update and submit Client Tracking Book and Daily Census Log to administration monthly
* Provide monthly reports to administration-

CRU: Board Report, Satisfaction Surveys, Follow-up Survey, Daily Census Log

* Maintain medical and office supplies inventories, including ordering supplies as need and ensuring postage meter requirements
* Provide bills to Finance Department for payment outline by organization billing process
* Save copies of work orders and invoices paid by Finance
* Contact facilities management for repairs that are needed/ notify staff when repair work will be done
* Maintain department employee schedule within ScheduleAnywhere application and find staff coverage for open shifts
* Manage drills (fire, tornado, bomb threat, etc.) and maintain drill book up-to-date
* Perform clerical functions, such as typing, filing, copying, etc
* Maintain up-to-date policies, forms, etc
* Team meetings - create agenda, record meeting minutes, and provide copies to staff
* Schedule and arrange trainings and in-services, at manager's direction
* Maintain employee contact information and birthday list
* Provide backup for the Welcoming Specialist and Follow-up Specialist, as needed
* Perform other tasks as assigned



* Associates Degree
* 2+ years administrative support experience


* Excellent communication skills, both written and verbal
* Excellent organizational skills
* Attention to detail
* Proficiency in MS Office - Word, Excel PowerPoint
* Ability to successfully multi-task in a fast-paced environment
* Ability to work in a multi-disciplinary environment


* The work environment may subject staff to behavioral and medical problems that could be physically hazardous
* Works in a crisis center environment
* Adheres to Common Ground policy on confidentiality
