Job Description

Reporting to the Director of Finance and Administration, the incumbent will monitor and coordinate expenditures for the Department of Industrial Engineering and Operations' (IEOR) accounts and manage the day-to-day financial activities in the Department. In this capacity, the incumbent will develop reports; create, document and manage a system to receive and provide support to inquiries related to new financial system implementation; reconcile University financial accounting statements on all accounts including grants and sponsored programs against internal ledgers; monitor expenditure of grants and sponsored programs from federal, industrial, and private agencies; monitor expenditure of restricted funds for compliance and appropriateness; assist with budget variance analysis; approve Financial Front End (FFE) payments, purchase orders, purchasing requisitions, invoices in the University payment system, check requests, P-CARD, time sheet entry, and expense reimbursements; review supplemental approval requests for compliance with existing policy; maintain files for IEOR Department transaction processing; coordinate transaction processing for Graduate Financial Aid; automate and produce expenditure reports, analyze and improve current processes, promote adherence to University policies regarding expenditures; supervise work-study assistants and perform other duties as assigned. Minimum Qualifications for Grade

Applicant MUST meet these minimum qualifications to be considered an applicant A bachelor degree is required.

Minimum of 2-4 years of related financial experience required.

Excellent computer skills with extensive knowledge of spreadsheets (Excel) required.

Must be able to quickly learn university electronic processing systems. Experience with university electronic systems (purchasing, accounts payable, payroll) and database strongly desirable.

Rigorous attention to detail and accuracy is essential; ability to manage multiple priorities with poise and discretion required.

Possess excellent interpersonal and administrative skills, as well as strong skills in written and oral expression.

Must be a team player and yet be able to function independently and interact well with faculty, staff, and university officers. Additional Position-Specific Minimum Qualifications

Applicant MUST meet these minimum qualifications to be considered an applicant Special Instructions Preferred Qualifications Essential Functions (35%) Human Resource responsibilities include managing hiring process (i.e. Course Assistants, Faculty, Adjunct Faculty, Visitors, Staff, etc.) and timesheet processing; process visa applications, process and approve student salary distribution, cost transfers, addcomp, and suspense; Coordinate and prepare faculty and researcher searches and postings; manage workstudies and Departmental interns.

(35%) Financial responsibilities encompass processing TBERs and streamline TBER process; approve vendor invoices, purchase orders, and departmental purchases; process and approve P-card transactions, internal transfers; approve cash and check deposits; automate and produce financial reports and processes.

(10%) Grant submission and budgeting; grant and unrestricted projects management, reports, and closing; submit project creation requests.

( 10%) IEOR Department operation management (i.e. Facilities, promotional items, office spacing, etc.); manage vendor and contract requests and approvals.
