Many positions in this company support all divisions and our Office Administrator / Receptionist will have that opportunity and responsibility.

We're looking for a receptionist/office administrator extraordinaire! You'll provide reception and administrative support functions by maintaining a welcoming office entrance, greeting visitors, answering phones, responding to inquiries, organizing and maintaining paper and electronic files, and taking ownership of all general main office functions. Key responsibilities include:
• Open the office each morning and prepare it for use.
• Answer telephones and give information to callers, take messages, screen calls or transfer calls to appropriate individuals, check voice mail, maintain daily call log.
• Greet visitors or callers in a friendly and hospitable manner, determine nature and purpose of visit, handle their inquiries or direct them to the appropriate persons according to their needs, direct or escort them to specific destinations, offer refreshments as needed.
• Process (and deliver) incoming and outgoing daily mail: collect, open, sort, and route incoming mail; answer correspondence; prepare outgoing mail.
• Compile, copy, sort, and file records of office activities, business transactions, and other activities.
• Transmit information or documents to customers, using computer, mail, or fax machine. Distribute incoming mail or faxes to individual mailboxes throughout the day.
• Inventory and restock office and kitchen supplies.
• Keep reception area, staff copier areas and kitchen area clean and well stocked.
• Setup / cleanup conference room for meetings. Place lunch orders for in-house meetings.
• Schedule repairs and general maintenance for office and office equipment.
• Maintain and update filing, inventory, mailing, and database systems, either manually or using a computer. File and maintain records, record information, update paperwork, or maintain documents (such as attendance records, correspondence, or other material).
• Create, maintain, and enter information into databases. Regularly update contact database.
• Regularly update social media accounts for the businesses.
• Provide administrative support by proofreading, transcribing handwritten information, or operating calculators or computers, etc.
• Monitor and oversee work schedule of high school interns in the office.
• Run errands to post-office, FedEx etc. as-needed.
• Other tasks as assigned.

Skills needed
• At least 5 years prior experience as a receptionist
• Excellent telephone and written communication skills; proficient in reading, writing and speaking English
• Ability to prioritize and multi-task a variable workload
• Proficiency in MS Word, MS Excel, Outlook, social media and web browsing
• Excellent cataloging and organization skills
• Excellent proof reading skills
