Administrative Assistant - Planning

Salary:            $37,798.00 - $44,278.00 Annually

Provides administrative, clerical, and secretarial services to the Planning Division of the Community Development Department.  Maintain a positive and productive environment in compliance with all relevant policies and procedures to further the goals of the department.

Essential & Ancillary Job Duties:

Essential Job Duties
• Implements established procedure for Planning and Zoning Commission Applications and Board of Adjustment Variances. 
• Prepare agenda items and materials for meetings with the Planning and Zoning Commission and the Board of Adjustment and coordinate with the City Clerk's office regarding records and compliance.
• Assist with the preparation of the Division Budget and monitor expenditures.
• Process and submit payroll in compliance with all City policies and procedures.
• Take and transcribe meeting minutes.
• Coordinate schedules and maintain files for employees within the Division.
• Assist with the coordination of annual and decennial census. 
• Maintain and update the Division website, publications, and manuals.
• Create databases and generate reports to assist managers, line supervisors, and other City officials.
• Assist the public in completing forms, answering questions, and providing information on the services provided by the Planning Division.

Ancillary Job Duties
• Maintain equipment and supply inventory, including all records relating to receipt and issuance of materials or equipment.
• Prepare purchase and supply requisitions.
• Perform other related duties as assigned.

Job Qualifications & Knowledge, Skills and Abilities:

Job Qualifications
Education, experience and training that are required or desirable in order to effectively perform the job at the time of hire.  An equivalent combination of education, training and experience will be considered.  Additional requirements and/or substitutions may be requested and require the approval of HR.

• High school diploma or equivalent required.  Two-year college degree with a secretarial or office management focus preferred.
• Minimum of 3 years related experience required.

Knowledge, Skills & Abilities
May be representative, but not all-inclusive, of those knowledge, skills and abilities commonly associated with this position.

• Knowledge of Microsoft Office programs (Word, Excel, PowerPoint, Outlook) and basic office equipment/machines.
• Ability to operate office equipment such as copier, fax, telephone system, and computer.
• Clear verbal communication skills and ability to give and follow written and oral instructions.
• Ability to effectively organize and prioritize work as well as concentrate on multiple tasks simultaneously.
• Ability to coordinate and meet deadlines.
• Ability to work independently and make responsible decisions.
• Ability to use good judgment and think quickly and rationally in difficult or stressful situations.
