Secretary - Building PT

Salary:            $13.65 Hourly

 

Closing Date: 5/2/2018 5:00 PM Central

 

Summary:

Performs clerical and administrative duties in support of the Community Development Department and city water and sewer utilities.  Maintains city inspection and utilities records.

Hours as follows:
Monday, Wednesday, Thursday & Friday, 8-1
Tuesday, 8-5
some flexibility necessary

Essential & Ancillary Job Duties:

Essential Job Duties
• Answer phone calls and respond professionally to resident questions and concerns regarding utilities, the permitting process, and inspections.
• Prepare the daily schedule for employees in the Building Inspection and Public Works departments, including updating spreadsheets, pulling files, preparing documents, and updating databases.
• Set up and maintain residential and commercial utility accounts.
• Receive, document, and file utility payments.  Balance the cash drawer daily.
• Obtain necessary information from residents regarding occupancy, utilities, and census information.
• Scan residential and commercial files, both existing and new, including documents for multiple divisions of the Community Development and Public Works departments.
• Issue construction permits and follow up regarding compliance.
• Maintain readings and invoicing for hydrant meters.
• Prepare work orders for water shut-offs.
• Perform data entry for results of inspections, tests, and waiver applications.
• Gather information and process concerns for all divisions of the Community Development and Public Works departments.
Ancillary Job Duties
• Provide maintenance and updates to city website.
• Enter data and update information in city databases.
• Perform other related duties as assigned.
 

Job Qualifications & Knowledge, Skills and Abilities:

Job Qualifications
Education, experience and training that are required or desirable in order to effectively perform the job at the time of hire.  An equivalent combination of education, training and experience will be considered.  Additional requirements and/or substitutions may be requested and require the approval of HR.

• High school diploma or equivalent.
• Minimum of 1 year clerical or secretarial experience.
Knowledge, Skills & Abilities
May be representative, but not all-inclusive, of those knowledge, skills and abilities commonly associated with this position.

• Strong knowledge of Microsoft Office programs (Word, Excel, PowerPoint, Outlook) and office equipment/machines.
• Clear verbal communication skills and ability to give and follow written and oral instructions.
• Ability to effectively organize and prioritize work as well as concentrate on multiple tasks simultaneously.
• Ability to work independently and make responsible decisions.
• Ability to use good judgment and think quickly and rationally in difficult or stressful situations.
• Excellent customer service skills.
