Assistant City Clerk

Salary:                        $19.99 - $23.41 Hourly

Summary:

Assists the City Clerk/Business Manager by performing technical and administrative tasks, including completing office duties, coordinating clerical and support staff, and creation of government documents.

 

Essential & Ancillary Job Duties:

Essential Job Duties
• Assist with the preparation of agendas, materials, and presentations for Department and Board meetings; Attend meetings and record notes and videos as required;
• Disseminate information and meeting documentation as required for compliance with all laws and ordinances; publish to the City's website and distribute to Aldermen, press, and Directors upon approval.
• Research and write ordinances, resolutions, proclamations, and correspondence.
• Assist with the approval of various license applications.
• Provide instructions and training for the general use of MinuteTraq and MediaTraq software.  Maintain manual with software updates, maintain users, create templates, and review program updates; Retrieve information and generate reports, licenses, minutes, and agendas from various City software programs.
• Assist public and staff in navigating the Municipal Code through the City's website and in hard copy.
• Conduct research and assist with special projects as requested, including the Microfilm Project biannually. 
Ancillary Job Duties
• Serve as a notary public.
• Accept payments and set up customer utility services when needed.
• Serve in the capacity of the City Clerk in the City Clerk's absence.
• Perform other related duties as assigned.

 

Job Qualifications & Knowledge, Skills and Abilities:

Job Qualifications
Education, experience and training that are required or desirable in order to effectively perform the job at the time of hire.  An equivalent combination of education, training and experience will be considered.  Additional requirements and/or substitutions may be requested and require the approval of HR.

• Associate's degree in Office Administration or related field or any equivalent combination of education/experience.
• Minimum of 5 years related experience required.
• Certification through the Missouri City Clerks and Finance Officers Association or the International Institute of Municipal Clerks within 2 years of employment.
• Prior experience working with ordinances, resolutions, and municipal codes.
Knowledge, Skills and Abilities
May be representative, but not all-inclusive, of those knowledge, skills and abilities commonly associated with this position.

• Knowledge of Microsoft Office programs (Word, Excel, PowerPoint, Outlook), and basic office equipment.
• Working knowledge of City software and ability to maintain that knowledge through software updates, training, and research on new products.
• Ability to communicate effectively, both verbally and in writing.
• Ability to effectively organize and prioritize work as well as concentrate on multiple tasks simultaneously.
• Ability to use good judgment and think quickly and rationally in difficult or stressful situations.
• Excellent customer service skills.
