Performs clerical and administrative duties respectfully and professionally.  This position is highly visible to the public and will often serve as the public's initial contact with the City, either by phone or in person.

Essential & Ancillary Job Duties:

Essential Job Duties
• Greet customers in person and by telephone.
• Maintain professional interactions and communicate in a friendly manner.
• Assist customers with forms and general questions.
• Accept payments and enter data into appropriate spreadsheets.
• Process permit and license applications, verifying that all requirements are met, taxes paid, and background checks completed
• Prepare and update procedure manuals for various permits and licenses.
• Compile safety related documents and information, process claims to TPA, and maintain filing of all claims.
• Prepare Safety Committee Meeting packets and materials.
• Attend Safety Committee meetings and prepare minutes.
• Maintain employee Safety Day database and prepare Safety Awards.
• Prepare letters to employees and their supervisors on the results of Safety Committee reviews.
Ancillary Job Duties
• Assist other employees and serve as back-up for the Concern Center, Laser Fiche, etc.
• Responsible for inventory and maintenance of office supplies for City Clerk's Office, City Administrator, Mayor, and Board of Aldermen.
• Perform other related duties as assigned.

Job Qualifications & Knowledge, Skills and Abilities:

Job Qualifications
Education, experience and training that are required or desirable in order to effectively perform the job at the time of hire.  An equivalent combination of education, training and experience will be considered.  Additional requirements and/or substitutions may be requested and require the approval of HR.

• High School Diploma or equivalent preferred.
• Minimum of 1 year related customer service or clerical experience required.
Knowledge, Skills & Abilities
May be representative, but not all-inclusive, of those knowledge, skills and abilities commonly associated with this position.

• Advanced knowledge of the use of email, calendars, contact lists, Microsoft Office programs (Word, Excel, PowerPoint, Outlook), and office equipment/machines.
• Ability to learn multiple software packages quickly (Incode, Laser Fiche, etc.)
• Ability to communicate effectively, both verbally and in writing.
• Ability to effectively organize and prioritize work as well as concentrate on multiple tasks simultaneously.
• Ability to work independently and make responsible decisions.
• Ability to remain calm and professional in difficult or stressful situations.
• Ability to respond to concerns from the public while assessing body language, tone of voice, etc. for danger or concern.
• Excellent customer service skills.
