Administrative Assistant (New York City) - Office of General Counsel (OGC)

Key Objective:

Must possess the desire to thrive in a fast-paced environment and think independently. This position provides administrative support to the Deputy General Counsel of Commercial Legal & Credit Management, the Deputy General Counsel for the NA Center of Excellence and each of their respective teams. Their respective teams aggregate to 30 professionals.

Duties and Responsibilities: Under minimal supervision, performs the following administrative duties with an eye on confidentiality and at times a considerable degree of independent decision making.

Support to the Deputy General Counsels and their respective teams of professionals:

* Facilitate all logistics associated with local broker, client, and staff meetings. This includes the welcoming of all external parties and escorting them through security to meeting locations and/or office hoteling arrangements.
* Assist with supporting the onboarding/offboarding of all Office of General Counsel staff located in New York City.
* Assist all attorney staff with the Global Legal Matter Management System (TyMetrix).
* Schedule meetings and arrange for conference rooms, including any equipment needed and food services
* Coordinate travel reservations and related arrangements effectively
* Prepare and track electronic expense reports for manager and team and assist with any follow-up activities needed
* Maintain extensive calendars (via Outlook) for assigned professionals
* Responsible for generating and maintaining senior level correspondence that includes proofing and finalizing
* Pay monthly invoices as assigned

Minimum Requirements:

3 - 5 years of demonstrated competence in administrative assistant functions or related experience

Desired Qualifications/Skills

* High degree of professionalism and a demonstrated ability to handle highly confidential information
* Able to work in a fast paced environment with accuracy
* Excellent working knowledge of PC
* Proficient with various Microsoft software programs including Outlook, SharePoint, Word, Excel, and PowerPoint; ability to create PowerPoint presentations with minimal direction
* Must be able to multi-task, be flexible in meeting changing work demands/priorities
* Thorough knowledge of the organization, personnel and policies
* Thorough understanding of the role and objectives of the department
* Strong verbal and written communication skills
* Self-starter with willingness to take initiative
* Demonstrated ability to think and work independently with limited supervision
* Proven ability in planning, prioritizing, and organizing diverse workload
* Effective interpersonal skills to be capable of working with all levels of office personnel
