Job Description

Job Summary

Performs advanced secretarial and administrative support. Is responsible for coordinating administrative support aspects for clinical laboratory operations.  Must be able to perform various administrative duties, interface positively with the public, meet deadlines and hold oneself accountable to anticipate the needs of the department, managers and faculty.

Job Responsibilities

General Administrative Functions

Maintain schedules/calendars for the Senior Director and managers.  Includes coordination of travel for the senior director and managers, multiple daily changes and extensive interface with hospital VIPs and their assistants.  Also includes anticipating and keeping Senior Director and managers up-to-date with daily appointments and responsibilities.

 

Assists Senior Director with

•             Handling sensitive information that relates to programs, budgets or personnel both inside and outside of the department.

•             Interfacing with all levels of the CHOP organization and with leadership of other organizations on behalf of the department.

•             Distributing and communicating CHOP policy changes.

•             Monitoring staff compliance with CHOP policies such as mandatory education.

 

Faculty and Staff On boarding

Coordinate processes and ensuring on boarding for administrative and faculty is handled in an efficient way such as office set ups, and any resources needed.

 

Coordinate Expenses Report

Complete activities and expense reports for Senior Director and managers and miscellaneous expenses.  Includes maintaining detailed records, interfacing with internal accounting staff, as well as external vendors and performing calculations of monies due to or from the department.                                                     

 

Responsibilities for Phone, Mail etc.

Perform general administrative support duties for the Senior Director and Managers. Includes phones, mail, email and other correspondences, communication with department faculty, Directors, and hospital management, project work and general problem solving.

 

Other Duties As Required

Assist the Senior Director and Managers in overall department operations as well as cross cover Faculty coordinator and Chair as needed.

Required Licenses, Certifications, Registrations

None

Required Education and Experience

  • Associate’s degree
  • Five or more years of related experience in administrative support or management job required, preferably in a healthcare setting.
  • Previous experience interacting with high-level executives.
  • Experience in working with medical terminology. 

Preferred Education, Experience & Cert/Lic

  •  Bachelor’s degree preferred
