Job Description

Purpose

Under direct supervisor this position performs administrative and office support activities for sometimes multiple supervisors. Duties may include fielding telephone calls, word processing, filing and faxing. Prepares letters and documents as required within assigned area. S/he will communicate an outgoing and friendly professional demeanor not only to customers but to staff as well.

Work Hours

Work hours will vary by business necessity. Position is part time (maximum of 27 hours per week) depending on the needs of the department. This position may require attendance at various bank/educational functions before, during, or after normal business hours.

Essential Job Functions

* Answers/fields phone calls for supervisors and department team members; schedules customer appointments, maintains files and materials for customers and the department.
* Works independently and within a team on special nonrecurring and ongoing projects. Acts as project manager for special projects, which may include: generating reports, planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, liaison between customers, managers and vendors ensuring accurate communication and coordination of information for current and future business.
* Responds to customer needs with the ability to maintain professional poise and remain calm under pressure of time constraints and potential difficult customer situations. To include, but not limited to, account research requests, wire transfers, and account transfers.
* Answers non-routine correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization.
* Assist the Branch Operations Specialist as needed.

Essential Skills to Perform the Job

* Must have knowledge of office administrative procedures, and knowledge of use and operation of standard office equipment, at a level generally acquired through 1+ years related experience.
* Must have proficient knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software.
* Effective organizational and time management skills to handle competing priorities and projects effectively. Some projects are deadline driven.
* Ability to interpret a variety of instructions in written, oral, diagram or schedule form.
* Confidentiality, confidence, and excellent interpersonal skills are required for this position.
* Must have exceptional verbal, written, and grammatical communication skills.

Scope of Responsibility/ Decision Making

Decisions are based on supervisor's direction and corporate policies and procedures. This position has no supervisory responsibilities. Work involves contact with persons regarding routine matters for purposes of giving or obtaining information, building relationships and soliciting cooperation. Problems encountered are relatively simple in nature, requiring some analysis or research to determine the best solution from a limited number of options. Administrative Assistant levels 1 and 2 are distinguished by the complexity of projects, experience, and assigned authority. S/he should exercise common sense and good judgment in decision making and should understand the branch/department goals, standards, policies and procedures established by management.

Education/ Experience

High School diploma or GED required. 1 to 3 years experience in a similar or related position. 2 year college degree or completion of a specialized course of study at a business school preferred.

Certification

Notary or ability to obtain may be required.
