Program Assistant

CEI Engineering is seeking a Program Assistant in our Mendota Heights, MN offce. The Program Assistant will coordinate, prepare and produce project related documents and provide extensive administrative support for CEI's operational activities.

Essential Functions

To perform this job successfully, and individual must be able to perform each essential function satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

* Coordinate and assist Department Managers or Project Managers with various project-related tasks including attending project specific meetings and/or public hearings.
* Coordinate and prepare reports, presentations, plan submissions, applications, variance requests, submittals, response letters, sub-consultant contracts, check requests, extra work authorizations, notice to proceed requests, and project packets.
* Maintain and coordinate project schedules by monitoring and updating project status database on a daily basis.
* Research regulations, compile project documents, distribute marketing materials, gather information, and provide basic communication to clients.
* Schedule and coordinate appointments for site investigation. Gather, prepare and complete information for Site Investigation Reports which may include visiting sites, meeting with client representatives, obtaining ordinance requirements, etc.
* Prepare applications and forms for submittals. Upload pictures, aerial maps, site investigation and survey information.
* Review record surveys and prepare easement documents for submittal to client. Submit easement document to respective counties for recording.
* Organize and maintain files and records, both hard copy and digital interfaces.
* Update and upload project management internal and/or client software and websites.
* Assist with pre-bill and invoice coordination. Accounts receivable tracking and updating with project manager and accounting team staff.
* Other duties as assigned


* Associate's degree from two-year college or technical school, or equivalent combination of training and experience
* A minimum of two years related experience in industry and in project coordination.
* Strong proficiency in Microsoft office Suite
