Job Function:

The Department of Mechanical Engineering (MechE) at Carnegie Mellon University (CMU) has an immediate opening for a Personnel Coordinator. As Personnel Coordinator, you will report to the Business Manager and will be responsible for set up and maintenance of personnel and payroll transactions. You will process Workday transactions, on-board new personnel and maintain accurate records.

Workday is CMU's human resources, payroll, benefits and time tracking system. You are expected to become an advanced department-level user of the Workday system and point of contact for Workday questions. In addition to Workday responsibilities, you will coordinate and organize the department property accounting inventory, capital equipment audits, government property audits, off-campus audits, wall-to-wall physical inventory process, and reconcile findings and compliance with department inventory to the Business Manager.

You will possess the following skills:

* Excellent customer service, interpersonal and communication skills
* Ability to work in a dynamic professional environment; handling multiple projects, shifting priorities, rapid change and adapt responses and tactics to fit fluid circumstances
* Ability to be highly discreet when working with sensitive and confidential information
* Strong organizational skills with a keen ability to prioritize and multi-task while adhering to deadlines
* Work well under pressure and occasional evening hours during high volume periods
* Excellent attention to detail and a high level of accuracy in work product
* Strong administrative and data management skills
* Self-motivated with strong problem solving abilities
* Proficient in MS Office with intermediate Excel skills (spreadsheet/database creation)

Your core responsibilities include:

* Workday and payroll transactions for all faculty, staff, student workers and certain student tuition support
* Serve as MechE's primary liaison with the CMUWorks Service Center
* Assist with position management using Workday and Taleo, and assist with the management of the system and process
* Initiating HR actions in Workday for faculty, staff, contingents and student position management. Includes job requisitions, position process, hire staff, students, entering organizational assignments, change, add and end jobs, updates, process terminations, leaves of absence, terminations, transfers, etc.
* Serve as backup Time Approver for non-exempt positions as well as backup maintenance of the personnel support plan and payroll adjustments
* Run and prepare Workday reports on a regular basis and as requested
* Process transactions in coordination with student accounts office
* Support assistant business manager in the PhD tuition and stipend process via Workday and enrollment services
* Assist with the processing of student tuition, fee and stipend changes and issues to include: fees, interest, tuition remission, refunds, LOA, absentia, withdrawals, etc.
* Assist Financial Analyst in effort certification
* Work collaboratively with central student accounts personnel to resolve issues and answer questions
* Other duties/office assignments as needed
