Job Description

Calvin College is seeking a Payroll Specialist.

The Payroll Specialist is responsible for providing payroll services with a consistent and high degree of accuracy and timeliness. Work responsibilities could include other general accounting reconciliations and processes.

Schedule:

4 days per week (or the equivalent to 32 hours) and is dependent upon payroll processing needs

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

* Process salary and hourly payrolls for faculty, staff, and student workers with goals of accurate data entry, timely payroll and tax processing, and correct compliance with federal, state, and local payroll related laws.
* Coordinate payroll work with human resources, student workers, and other financial services staff to ensure timeliness and adequate controls.
* Accurately report taxable wages, prepare timely tax reporting documents, and process payroll tax payments.
* Advise the College on payroll related issues including IRS and other changes.
* Ensure accurate W-2 and other external reporting.
* Reconcile payroll related accounts such as taxes and other withholdings and deductions to the General Ledger.
* Serve as backup to onboard students into payroll system by gathering tax forms and coordinating work eligibility with Registrar.
* Gather and provide data for workmen's compensation reporting, 990 tax form, Michigan Occupational Safety and Hazards, annual audits, and others.
* Respond to IRS, state, and local tax authority notices regarding payroll taxes.
* Participate in teams addressing payroll related issues, as needed.
* Assist Human Resources, as needed, with payroll related topics and employee on-boarding.
* Train student workers on payroll related issues as needed.
* Other general accounting reconciliations and processes as assigned.

Required Skills

* Attention to detail
* Strong communication, both written and verbal to respond to payroll questions from faculty, staff, and students.
* Ability to do work with a strong sense of confidentiality
* Knowledge of taxability and benefit eligibility of different types of pay
* Ability to identify and implement payroll process improvements of data flow and recording
* Intermediate computer skills are required; Proficient in Microsoft Office Suite
* Strong organizational, problem solving and analytical skills

Required Experience

* An associate's degree is required; a Bachelor's degree is preferred
* 3-5 years of experience (or equivalent education and experience) in payroll processing including, administering multiple payrolls with multiple frequencies
* Experience with multi-state payroll
* Experience with student payroll topics like Federal Work Study, payroll taxes, earning limits, and international tax topics (highly preferred).
