About the Position:

The College of Humanities and Social Sciences Sociology Department is committed to providing our students with the skills and methods to study social behavior from a sociological perspective. Our mission is to develop among our students a critical, ethical, and inclusive understanding of complex social phenomena. We are searching for an Administrative Support Assistant II with a positive attitude and an active, energetic mind that is characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity, and kindness.

The Administrative Support Assistant provides daily administrative clerical support to full and part-time faculty, over 900 students, and student organizations. Provides front office support by screening phone calls, assisting walk in visitors, and processing and distributing mail. Orders textbooks and desk copies of books for all faculty and classes. Supports the Administrative Support Coordinators by assisting with the preparation of travel authorization and expense documents. Maintains the office supply inventory, ordering supplies as needed. Under general supervision, prepares purchase requisitions for supplies and materials. Accesses databases for student record information, enrollment information, and registration permits and releases. Under general supervision, schedules office locations for part-time faculty. Maintains the department's conference room calendar and schedules meetings and appointments. Coordinates mass mailings and provides clerical support for Student Opinion Questionnaire (SOQ) processes. Under general supervision, builds the summer and intersession schedule for University Extended Education. Maintains undergraduate student files. Provides assistance with directing work and training the office Student Assistants. Under direction, schedules tutoring and mentoring appointments. Assists with meeting and event planning including Commencement, Sociology Day, and department meetings. Other duties as assigned.

Essential QualificationsHigh School diploma or the equivalent and three years of experience in general office, clerical or secretarial work or the equivalent. General working knowledge of applicable university infrastructure, policies, and procedures. Thorough knowledge of office methods, procedures, practices, and equipment. Thorough knowledge of English grammar, punctuation, and spelling with demonstrated competence in effectively presenting standard information in writing. Ability to learn, interpret independently, apply, and identify deviations from a variety of complex policies and procedures. Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions. Ability to perform arithmetic functions of a transactional nature, including tracking and comparing data. Ability to work on the front line, with a variety of campus and community individuals requiring active problem solving and effective interpersonal skills. Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions. Basic typing and keyboarding skills.

Preferred QualificationsExperience working in an academic administrative office. Experience working in a customer service environment. Proficiency using a PC and Microsoft Office software including Word, Excel, Outlook, and PowerPoint.
