Job Description

Schedules appointments, gives information to callers, and otherwise relieves officials of clerical work and minor administrative and business detail by preforming the following duties.

Essential Duties and Responsibilities

Other duties may be assigned.

1.Reports to Chair and manages the department office.

2.Serves as receptionist for the department, greeting visitors to the office and providing information and materials.

3.Assists in meeting the various students' needs.

4.Assists Professors with audio/visual requests.

5.Stores student records (attendance and grades), maintaining confidentiality of records.

6.Process and distributes incoming mail for the department.

7.Composes and types routine correspondence.

8.Organizes and maintains file system, and files correspondence and other records.

9.Assists professors with syllabi.

10.Answers and screens department's telephone calls.

11.Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records.

12.Participate in the department's annual budget preparations.

13.Makes copies of correspondence or other printed materials.

14.Prepares outgoing mail and correspondence, including e-mails and faxes.

15.Orders and maintains supplies, and arranges for equipment maintenance.

16.Assist Department Chair and Program Directors with accreditation documentation as directed by Chair.

17.Tracks and submits invoices and credit card transactions to Accounts Payable

18.Tracks monthly spending and maintain monthly budget spreadsheet, submitting to department chair for review.

19.Provides general oversight for student workers, coordinating student worker time with faculty and department needs.

20.Performs other duties as directed by the Department Chair and/or Dean of the College.

Supervisory Responsibilities

This position could be responsible for assigning work and/or giving direction to part-time Student Workers, in order to complete office work assignments.

Skill in the use of personal computers and related software applications including MS Office, Word and Excel.

A thorough knowledge of: Business English and arithmetic, general office methods, procedures and practices.

Ability to read and write at a level appropriate to the duties of the position.

Strong organizational skills and detailed oriented.

Ability to relate positively and effectively with a diverse faculty, staff and student body.

Ability to plan, develop, and coordinate multiple projects

Knowledge of standard budgeting and expenditure control procedures and documentation.

Ability to make administrative/ procedural decisions and judgments.

Ability to develop and maintain record keeping systems and procedures.

Ability to resolve customer complaints and concerns.

Ability to investigate and analyze information and to draw conclusions.

Education and/or Experience

Associates degree (A.A.) or equivalent from a two-year college or technical school; and/or 5 years related experience and/or training; or equivalent combination of education and experience.
