Job Description

POSITION TITLE: SECRETARY - HUMAN RESOURCES DEPARTMENT

DEPARTMENT: SECRETARIAL-CLASS B

REPORTS TO: DIRECTOR OF HUMAN RESOUCES/ADMINISTRATIVE SECRETARY

SUMMARY: Responsible for assisting with secretarial duties within the Human Resources Department.

ESSENTIAL DUTIES AND RESPONSIBILITIES: Other duties may be assigned.

* Process certified and non-certified time and attendance data including reconciling discrepancies on time sheets such as pay code issues and hours worked.
* Maintain and update "no pay" list and mail notices.
* Request jury duty certification of attendance.
* Maintain records of teacher classroom observations, non-tenure recommendations and evaluations in Protraxx.
* Conduct background checks for school volunteers.
* Responsible for completing fingerprint process for all BOE employees, student teachers and interns.
* Responsible for completing and processing all paperwork for interns and student teachers.
* Responsible for the hiring process of summer school staff in coordination with directors.
* Process unemployment claims.
* Process volunteer and mentor paperwork.
* Maintain emergency cards for all schools including distributing blank cards yearly, filing and updating changes.
* Manage sexual harassment training program.
* Update labor law posters
* Make health kits and distribut to all schools
* Order office supplies
* Maintain accurate files, records and accounts as well as confidentiality of such records.
* Respond to inquiries from staff and the community.
* Open and distribute mail.
* Prepare state and federal reports as required.
* Maintain Mandated Reporter training certificates.
* Perform other duties as assigned by supervisors.

None.

QUALIFICATION REQUIREMENTS: TO PERFORM THIS JOB SUCCESSFULLY, AN INDIVIDUAL MUST BE ABLE TO PERFORM EACH ESSENTIAL DUTY SATISFACTORILY. THE REQUIREMENTS LISTED BELOW ARE REPRESENTATIVE OF THE KNOWLEDGE, SKILL AND/OR ABILITY REQUIRED. EDUCATION AND/OR EXPERIENCE:

High School Diploma required or Associates Degree preferred. Previous office experience required. Insurance/Employee Benefits experience a plus.

LANGUAGE SKILLS:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively with parents and staff.

MATHEMATICAL SKILLS:

Ability to work with mathematical concepts appropriate to the position.

COMPUTER SKILLS:

Proficient with Microsoft Office Suite. Experience with job related computer hardware and software applications. Demonstrates ability to operate a personal computer and related software.

REASONING ABILITY:

Ability to apply common sense understanding to carry out instructions furnished in written or oral form. Ability to deal with problems.

OTHER SKILLS AND ABILITIES:

Ability to establish and maintain effective working relationships with the staff and the community. Ability to perform duties with awareness of district requirements and Board of Education policies. Excellent typing and computer skills; excellent telephone techniques; adaptability; filing; operation of office machines; good public relations.

While performing the duties of this job, the employee is most frequently required to actively circulate around the facility. This involves frequent transitions from standing, to sitting, to bending. The employee is required to work with hands and continuously will repeat the same hand, arm or finger motion many times as in typing for example. The employee must occasionally lift and/or move up to twenty-five (25) pounds, such as AV equipment and books. Specific vision abilities required by this job include close vision, depth perception and the ability to adjust focus.

The noise level in the work environment is usually quiet to moderate. The employee continuously is interacting with the public and staff. The employee frequently will be required to meet multiple demands from several people.
