Job Description

ACCOUNTING SPECIALIST

The position serves as an Accounting Specialist for the Athletic Department and is heavily involved in the processing of athletic scholarships, approving local business and travel expenses, supporting athletes in maintaining past due balances, managing Student Assistants, assisting the Controller, and running financial and scholarship reports.

Essential Functions:

* Athletic Scholarships
* Validate monthly scholarship refunds
* Review scholarship amounts
* Work directly with campus in processing payments


* Collect and process scholarship requests for spring and summer
* Communicate and uphold our policies for spring and summer attendance
* Work directly with the Academic Advisor in collecting adequate information
* Organize and run approval meetings


* Assist coaches with Fall/Winter awarding
* Process scholarship reimbursements


* Expense Approvals
* Review and approve local business and travel expenses daily
* Verify itemized receipts
* Verify account codes
* Verify purchases align with our policy




* Reports
* Collect and organize monthly past due balance reports
* Send updates about the University Compliance Report
* Explain policies to employees
* Send reminders of compliance items
* Inform those who are not in compliance with policy




* Assist Controller
* Answer phones and take messages
* Submit weekly news items
* Maintain all taxable benefits
* Reporting spouse travel benefits



Qualifications:

Years of experience:

* REQUIRED 3-5 years' experience in a finance or accounting environment
* PREFERRED Bachelor's Degree in business, finance, or accounting

Skills, abilities or knowledge needed:

* Finance/accounting background
* Exceptional interpersonal and public relations skills
* Excellent phone skills
* Excellent computer skills; needs to be proficient with Word and Excel
* Awareness of West Coast Conference and NCAA rules
* Human resource experience preferred
* Excellent organizational skills
* Ability to multi-task, meet deadlines, and handle stressful situations
* Ability to work well with others, both within the department and externally
* Ability to maintain confidentiality of sensitive information
* Knowledge of University policies related to payments, deposits, and reimbursements facilitating the employee's ability to initiate, develop, and prepare all department financial transactions including:
* Fast Track (checks) payments
* purchase requisitions and orders
* department cards
* purchasing cards
* campus cards
* cash deposits


* Ability to work with employment processes including student employment and graduate assistant contracts
* Ability to make, complete, and edit EPAF's
* Knowledge of University and department policies related to Y-Time (payroll system)
