Position Summary
BOLD is hiring an Executive Personal Assistant/Administrative Assistant that will provide outstanding support to the Chief Executive Officer (CEO). The ideal candidate will be a detailed oriented individual who can demonstrate initiative, flexibility, teamwork, great judgment and anticipate and resolve problems before they escalate.

  • Be the right-hand support to the CEO by providing both administrative and personal assistance.
  • Provide administrative support to the CEO by maintaining the CEO's calendar, schedule meetings, calls, and teleconferences (and the logistics calls are started on time with full participation.
    • Assist in managing Executive Team communications and meetings.
    • Prepare presentations for internal and external use, coordinating inputs for many functions and locations.
    • Set up and organize file sharing folders.
    • Provide admin support to visitors.
    • Be available to provide assistance after work hours and weekends for urgent matters.
    • Coordinate agendas for senior-level meetings, CEO staff meetings, etc.
    • Process invoices related to CEO's expenses and travel expense system.
    • Lead special projects as requested by the CEO.
Provide personal assistance with external projects.
  • Project manage property remodels as well as new build outs.
  • Research and recommend vendors as needed.
  • Provide artistic recommendations on external projects.

  • Bachelors' Degree (Business Administration, Accounting, Marketing, Management or Finance) preferred or equivalent experience.
  • 4+ years as a Personal/Executive Administrative Assistant.
  • Judgment and ability to prioritize requests and people, learning how to understand the CEO's priorities and gracefully balance the requests for meetings, speaking engagements, etc.
  • Microsoft Software (MS Outlook, Word, PowerPoint, Excel, Publisher, Visio, SharePoint, etc.).
  • Excellent written and verbal communication skills; accuracy is a must.
  • Detailed oriented, organized, timely, effective and the ability to adapt to change.
  • Knowledge of business functions and processes.
  • Handle office resources: PC, Copier, Teleconference, Scanner, Videoconference, etc.
  • Exceptional customer service and team player.
  • Maintain confidentiality and handle confidential information with discretion and diplomacy.
  • Works well under time pressure with little or no supervision.
  • Ability to travel internationally 10% of the time.
Preferred Qualifications
  • Previous experience supporting a CEO/C-Level executive(s).
  • Preference for a blend of start-up and project management experience.
  • Bi-lingual in Spanish.
