Job Description

Job Description Purpose:

Performs routine administrative tasks to relieve Mortgage Management of clerical and administrative responsibilities, as well as acts as the Mortgage Department's specialist filling in for others in the Department in a variety of areas on an as needed basis.

* Faxes, copies, files, scans, shreds, sorts mail, sends mail, overnights mail, prioritizes mail, orders supplies, runs business errands, types, coordinates lunches, schedules meetings, compiles reports, and other various tasks.
* Manages weekly payroll - PTO requests and time adjustments. Assists with new hire timecards not yet in Kronos
* Compiles weekly collection reports for FBS investors
* Approves LSAMS access as a delegate of mortgage management
* Assists Mortgage Management area with special projects and back-up as needed.
* Screens calls from various parties. Answers basic questions regarding Bluegreen Corporation, the Mortgage Department, an owner's loan, etc. Forwards more difficult questions/calls to Senior Mortgage Management.
* Reviews Revision in Terms changes daily
* Uses the Internet to access certain requested information.
* Maintains financial forms, reports, and binders. Specifically maintains binders containing deal documents for the Department's hypothecations, sales and securitizations for Senior Mortgage Management.
* Sets up specific files for Mortgage Management which are maintained in their offices.
* Coordinates storage procedures for the entire Mortgage Department.
* Makes travel plans as necessary.
* Prepares invoices for approval and submission to Accounts Payable; keeps approval process flowing
* Maintains the Department's supply room, ordering and inventory process.
* Maintains scheduling of the Department's conference room. Also schedules other conference rooms/ venues
* Maintains the Department's organizational chart.
* Assists in the ongoing review of, and when necessary the implementation of, a comprehensive business continuity plan.
* Reviews and reconciles daily report of modifications to mortgage interest rates and scheduled payment amounts.
* Maintains updated employee contact information
* Prepares spreadsheets and presentations
* Assists with audits, as necessary (payment histories, printing loan documents, etc.)
* Maintains the Department's Policies and Procedures Manuals.
* Updates, maintains and distributes business cards. Orders all stationery for the department
* Plans for special events (monthly birthdays and service anniversaries, annual holiday party); maintains budget
* Provides the initial point of contact for visitors and answers basic questions about the Company
* Assist front desk (reception relief team) when necessary to cover Receptionist's lunch break

Job Requirements - Must have a HS Diploma or equivalent (G.E.D)

* One year certificate from college or technical school required; numerous classes/seminars whether at Bluegreen or off-site may be utilized to meet this requirement.
* Minimum of three to five years of progressive experience as an administrative assistant to Management.
* General lending/servicing/loan documentation experience a plus.
* Strong written and verbal communication skills, as well as basic math and reading comprehension skills required.
* Computer literate with working knowledge of Microsoft Word, Excel, Outlook and Power Point.
