Job DescriptionJob Responsibilities

• Calendar management: Schedule/reschedule meetings, review/prioritize calendar invites; Allocate time for prep and work time

• Event/Travel management: coordinates complex domestic/international travel arrangements; Manages all external event registrations; Maintains traveler profiles and ensures all preferences/membership details are current; Generates travel packets of materials and notes relevant details on calendars

• Finance support: initiating and processing purchase orders, tracking invoices and project budget accruals through the payment process and working with Finance/Purchasing and Strategic Sourcing manage practice groups' budgets and forecasts.

• Maintain working knowledge of relevant Biogen policies and procedures, including but not limited to purchasing, financial/budgetary policies and compliance protocols, and be prepared to cascade information to team as required.

• Expense report management: preparing and submitting expense reports, including complex transactions and HCP engagements

• Large-scale meeting/off-site support: logistics coordination (secure venue, A/V support, catering etc…), pre-event material preparation, Compliance approval management for HCP engagements, day-of set up, contract/payment processing as needed, management of minutes and other related activities; Oversight of coordination process when using resources

• Systems knowledge: BAM, Oracle, terminations, on- boarding or Delegated OTL responsibilities. Organizes back-up coverage during absences, vacations etc. and identifies the need for additional support during periods of increased department workload.

• Trains team members on Biogen work processes and procedures, and acts as a resource to team members as required.

• Serve as a liaison and/or representative internally and externally

• Flexibility to accommodate requests outside of office hours as needed to accommodate international affiliates.
