Job Description

BioFire Diagnostics, LLC. is looking for a Legal Administrative Assistant to join our growing team! This position is responsible for initiating and coordinating a wide variety of administrative support functions required for supporting a high-paced professional business operation. Duties require initiative, attention to detail, and the ability to adapt to changing situations, with sensitivity to confidentiality and proprietary information. The successful candidate is one who conducts the duties with professionalism and integrity. This position reports to the Vice President, Legal Affairs and assists the entire legal department and intellectual property team.

Principal Job Duties and Responsibilities:

* Performs all work in compliance with company policy and within the guidelines of BioFire's Quality System.
* Prepares documents and reports from general instructions. Uses word processing and spreadsheet systems.
* Maintains paper and electronic records for legal department and intellectual property team.
* Prepares draft agreements from templates.
* Assists with patent and trademark docketing and filing.
* Handles confidential correspondence and documents.
* Orders, receives, and distributes office supplies and equipment for legal department and intellectual property team.
* Tracks various deadlines and follows up with company personnel to assure deadlines are met.
* Reviews and assigns invoices to appropriate account. Provides invoices to accounting department.
* Composes routine letters and memoranda for corporate signature.
* Edits documents to ensure composition and contextual accuracy; proofreads typed data ensuring proper spelling, punctuation, and grammar usage.
* Create and maintain electronic copies of BioFire's critical documents.
* Provides schedule and calendar management.
* Assists with scheduling and booking travel and submitting expense reports.
* Works with other departments to gather and format data in connection with CMS reporting obligations.
* Performs other related secretarial and administrative duties as required.

Minimum Qualifications

Education & Training: High School diploma or equivalent. Secretarial or business school training with some paralegal training is preferred.

Experience: Minimum five years administrative experience.

Skills:

Required:

* Must be able to meet all requirements of the administrative assistant position.
* Must be very skilled in Microsoft Word and Excel and capable of learning use of complex software.
* Excellent organizational and written/verbal communications skills, with attention to detail.
* Must be able to work with confidential information, always maintaining its confidentiality.
* Must have integrity and loyalty.

Preferred:

* Prior experience working with a legal department or within a law firm, particularly with intellectual property experience.
* Some paralegal training or experience.
* Some college level courses in the sciences and in effective writing.

Physical Requirements: Occasional light lifting.
