Job Description

Benjamin Rose Institute on Aging, a leader in Eldercare Services, Applied Research and Advocacy is seeking a Home Care Scheduling Coordinator (32 hrs) r esponsible for the overall scheduling of home health aides and homemakers. Handles payroll and billing verification. Manages production of admission packets.

Essential Areas of Responsibilities

    • Responsible for all daily scheduling.
    • Collaborates with Intake & Home Care Coordinator as needed for new referral.
    • Acts as designee for new referrals from Care Coordination:
    • Coordinates with Director the assignment of a new aide to insure skills checklist completed upon first visit scheduled to provide care. Notifies client when service will start.
    • Keeps authorization logbook to include authorization for each client; update authorizations as they expire.
    • Keeps Aide Care Plan notebook to include aide care plan for each active client; provide copy of aide care plan to aide.
    • Maintains monitoring log, verifying HHA presence at cases as assigned.
    • Performs on-call for after hours and weekend aide coverage as assigned.
    • Participates in after hours and weekend on call and maintains call log.


    • Verify accuracy of Aide Visit Report and Billing Log.
    • Performs weekly billing verification of all home care visits by the aides
    • Perform aide payroll via e-timesheet software; input aide's time once verified and processed.

General Responsibilities and Duties

    • Prepares admission and orientation packets including restocking and ordering of forms needed.
    • Copies, distributes, grades, tracks and records HHA in-services each month.
    • Prepares and disseminates in-service materials for self-study for the month as scheduled.
    • Responsible to prepare admission packets for skilled and all non-skilled aide cases.
    • Coverage of reception when assigned.

Job Qualifications

    • High school graduate. Associates degree or some college level courses preferred.
    • Previous scheduling experience preferred.
    • Computer skills required, inclusive of MS Office and clinical database experience. Able to perform general office activities.
    • Some knowledge of Medicare and Medicaid required.
    • Ability to work effectively with people; clients, aides and co-workers and handles routine and complicated business files, personnel concerns/problems, and the computer system.
    • Working in a Business Work Place Environment with other Team/Employee Members, must be a team player.
    • Background Check and Drug Test Required. EOE.
