Administrative Assistant (1702776) - Iselin, NJ

Administrative Assistant provides a range of complex and diversified administrative support services to the Senior VP, Technology and Investments Catalysts and team. This includes, but is not limited to:
- Travel arrangements for supported group (including visa, permits etc. where required, management of expense reporting information and documentation).
- Meeting coordination and preparation including entertainment planning and arrangements.
- Calendar management, including ownership of the schedules, independent decision-making to accommodate conflicting meeting requests, sending invitations on the behalf of the SVP Technology and Investments Catalysts
- Support SVP monthly and annual staff meetings via taking of meeting minutes, publishing of minutes and follow up with designated employees for action tracking and updates
- Screen incoming phone calls and correspondence and respond independently when possible.
- Coordination and preparation of various reports and presentations as required.
- Relieve the supported group of as much miscellaneous detail as possible through comprehensive knowledge of organizational policies, practices and procedures.
- P-Card (Purchasing card) purchases for the CCT and maintain record of monthly reviews of transactions
- Order IT supplies via IT Access
- Provide support to organize and execute virtual meetings and communication to include but not limited to Sharepoint, and WebEx
- New Hire On-Boarding to ensure all IT/ security access, supplies, space, and safety orientation needs are taken care of.

Basic qualifications:
- High school diploma with a minimum 5 years of administrative experience supporting a Senior Level executive in a high-paced global matrixed environment.
- Excellent verbal and written communication skills
- Highly proficient in Microsoft Office Suite software (Outlook, Word, PowerPoint, Excel).
- Ability to exercise independent judgment in actions regarding company matters including identifying, maintaining and directing confidential issues appropriately.
- Ability to handle multiple priorities and to quickly and accurately respond to constantly changing demands from many sources.
- Excellent organizational skills and attention to details.
- Must be a self-starter and able to work independently.
- Ability to work on-site in office and must have the ability to work unpredictable overtime or non-standard schedule.
- Must have cultural awareness and be able to interact effectively with all levels of personnel.
- Must demonstrate a proactive approach when handling calendar conflicts and upcoming meetings/events.
- Experience with itinerary and travel planning on an international basis
- Experience organizing virtual meetings on an international basis
