In this highly visible role, the candidate should be able to operate in a professional business environment that is very fast paced. The positions is for an Executive Assistant with business support lead responsibilities in Global Information Security. This job directly supports the head of Cyber Security Defense (CSD) and managing the executive's calendar and ensuring the executive is prepared and on time for various meetings and activities. Fielding of phone calls and issues is also a key part of this function. Administrative tasks such as travel arrangements, expense reports, and calendar management are key priorities for this role. This person also works closely with other executive assistants on the team and throughout Bank of America. The ability to anticipate the needs of the executive is critical in this role. This position also requires the candidate to be able to operate in an environment where they have influence, but not necessarily authority; and can manage sensitive and confidential information with judgment and tact.

Required Skills:

* Communicating and interacting with all levels of the group and across business functions, finance, personnel and technology
* Serving as a resource for basic company policies and procedures
* Work closely with the CSD Chief Operating Officer
* Create meeting agendas by for staff meetings and other team meetings
* Help in managing the travel budget for CSD
* Plan and execute Quarterly All Hands Meetings
* Plan annual offsite
* Plan bi-annual security summit
* Oversee performance review & title and band promotion process, as well as calibration
* Assistant with Business Continuity exercises for Southeast
* Maintain email distribution groups
* Update orientation slides and org chart monthly
* Confirm quarterly access revocations
* Phone coverage, calendar management, travel scheduling for both domestic and international travel and expense processing

Desired Skills:

* 3-5 years experience providing administrative support at the senior management level
* Significant time management, multi-tasking and prioritization skills
* Advanced skills in Outlook and other MS Office programs (Excel, Word, PowerPoint, OneNote, Visio)
* Knowledge of Bank of America systems including: Workday, Concur, Ariba, TechDirect, Flagscape, ACR, ARM, etc.
* Highly organized with strong attention to detail
* Ability to work effectively under pressure and time constraints
* Strong written and verbal communication skills
* Concur or similar experience processing travel and expenses
* Exemplary demonstrated work ethic and pro-active "can do" approach
* Ability to learn quickly and take on new responsibilities

Enterprise Role Overview:

Typically supports a Band 1 executive, handling administrative duties. Performs diverse, advanced and confidential administrative support including composing, signing and releasing routine but somewhat complex correspondence. Relieves management of administrative details; gathers, compiles and reports information relevant to/for the executive. Reads, screens, refers and responds to incoming mail, ensuring that referrals are made, responses are gathered and summarized. Typically manages different and conflicting objectives, projects or activities at once. Coordinates schedules for corporate level executives. May act as liaison to outside groups coordinating events where the executive is a corporate chair, director or committee member. Communicates with executives and line management to gather/convey relevant information. Some staff at this level are involved in high-level client contact and exposure to sensitive information and must use considerable tact, diplomacy and judgment.
