JOB SUMMARY:

Responsible for supporting the EVP, Chief Human Resources Officer and the General Counsel of the Banc of California. The Executive Assistant will provide high-level administrative support to these executive officers. This position will serve as the primary point of contact for internal and external constituencies on all matters pertaining to the executives. The Executive Assistant will serve as a liaison to the executive leader, and complete a wide range of tasks including the following: monitor and respond to emails; engaging in heavy scheduling; calendar meetings; and oversee executive special projects. This position must be able to interpret and respond to requests and decide whether and when executive should be notified of important or matters as needed. Independent judgment is required to plan, prioritize, and organize a diversified workload. Performs all duties in accordance with the company's policies and procedures, all U.S. state and federal laws and regulations, wherein the Company operates.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

* Develops strong working relationships and superior communication skills with; all levels of the organization; particularly the executive team.


* Provides an avenue for clear communication. Maintains credibility, trust and support between the executives and the internal staff.


* Develops and prepares presentations, documents, etc. for executive team members. Reviews presentation materials to ensure accuracy. Distributes information and materials to the staff as required.


* Completes a broad variety of tasks including managing an extremely active calendar; monitoring, composing, and responding to correspondence; arranging agendas; managing scheduling and calendaring meetings. Types memos, creates purchase requisitions, make payment requests, and completes other department forms and documents.


* Assumes responsibility for special projects; gathers data and prepares reports for the Board of Directors and other members of Senior Management, audits, and other personnel.


* Researches, prioritizes, and follows up on incoming issues and concerns addressed to the executive, including those of a sensitive or confidential nature. Consults with the executive in determining appropriate course of action, referral, or response; communicates directly, and on behalf of the executive, with senior leaders and board members, and others on matters related to the organization's initiatives and activities.


* Organizes programs, events, meetings, and conferences by arranging facilities and caterers, issuing information or invitations, coordinating speakers, and controlling event budgets.


* Prepares agendas, notices, and minutes for corporate meetings.


* Performs complex and confidential administrative functions including developing written correspondence.


* Responds to routine external correspondence.


* Creates and maintains databases and spreadsheet files.


* Arranges complex and detailed travel plans and itineraries. Compiles documents for travel-related meetings.


* Prepares expense reports.


* Maintains confidentiality of all corporate, personnel, and research matters.


* Interfaces with internal departments in matters related to contract processes and/or approvals.

* Follows policies and procedures; completes tasks correctly and on time; supports the company's goals and values.

* Effective organizational and time management skills.


* Strong Microsoft Word, Excel, and PowerPoint abilities.


* Intermediate typing skills to meet production needs of the position.


* Intermediate math skills; calculate interest and percentages; balance accounts; add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals; locate routine mathematical errors; compute rate, ratio and percent, including the drafting and interpretation of bar graphs.


* Exceptional oral, written and interpersonal communication skills with the ability to apply common sense to carry out instructions, interpret documents, understand procedures, write reports and correspondence, and speak clearly to customers and employees.


* Ability to gain full working knowledge of the company's structure, key personnel and organizational policies and procedures.


* Ability to work with general supervision while performing duties.



EDUCATION, EXPERIENCE AND/OR LICENSES:

* HS Diploma/ Associate Degree (AA) and a minimum of 5 years' in administrative/executive support role. Work related experience should consist of previous experience and/or training supporting corporate executives and senior management.


* Bachelor's Degree preferred but not required.
