At Balfour Beatty in Glen Burnie, Maryland we have an immediate need for a part-time administrative assistant to work 20 to 25 per week (Monday-Friday). This is an entry level administrative role that will help with data entry related to accounts payable, time card and billing entry. Previous or current experience using Microsoft office Suite, particularly Excel, is very helpful for this role.

Essential Functions

* Type variety of documents, many highly confidential.
* Maintain/set-up sophisticated filing systems, supervisor's personal files, etc.
* Answer phones - screen/handle routine and/or noncritical items - pass others on to supervisor.
* Arrange travel, hotel, car reservations & prepare itinerary.
* Maintain supervisor's calendar, schedule meetings, etc.
* Take and transcribe meeting minutes and other dictation.
* Photo-copy documents as required.
* Process in-coming mail; open, stamp, and sort for priorities.
* Distribute and/or handle items not requiring supervisor's attention.
* May compile and prepare various reports for supervisor's use (requires analysis and comparison of data).
* Insure continuance of office routine in supervisor's absence.
* May write reports, letters, memos, etc. for supervisor's signature.
* Coordinate and process general administrative work (time sheets, vacation requests, supply requisitions, etc.) for supervisor's signature.
* Perform additional assignments per supervisor's direction.

Minimum Requirements

* High School diploma or equivalent.
* A minimum of 6 months or more of general office administrative experience or record keeping management.
* Proficiency using a personal computer (PC) and company communication tools, such as email, internet, and Microsoft products (e.g., Word, Excel, Office, Outlook).
* Ability to maintain confidentiality at all times.
