Job Description

Overview

As a member of the Blacks at Bain (BABs) and Latinos at Bain (LATBA) Recruiting team, the Event Associate will manage all event logistics for internal programs, external partnerships, and on-campus marketing events as they relate to the identification and cultivation of Black and Latinx talent.

This role is a good fit for someone with an eye for detail who likes planning and executing events (various locations, varying sizes and different formats),working collaboratively with other departments (e.g. marketing, including social media), and with recruiters on the broader recruiting team. In time, this person will work independently and contribute to the event strategy.

Responsibilities

Event Planning and Execution

* Plan and execute events for Consultant and Associate Consultant recruiting efforts, including:
* Solidifying external venues and internal office spaces
* Inputting events into Bain's recruiting system, Avature
* Coordinating contracts with Bain Legal and Finance
* Maintaining event invitations, student RSVPs, and internal staffing
* Creating name tags, food and beverage orders, and place cards
* Organizing event materials, including swag
* Arranging hotel room blocks and recruit travel
* Collaborating with internal Office Services and managing external vendors
* Reconciling and coding invoices to Accounts Payable
* Owning the calendar of events and timeline to ensure all stakeholders are engaged appropriately and materials are delivered on time
* Scheduling speaker prep when needed
* Support the logistics for the annual BABs and LATBA conference

Communication Management

* Communicate & correspond with recruits on a regular basis. Maintain incoming inquiries, applications, and generate appropriate responses in a timely manner
* Manage external marketing communications with External Partners and student organizations/clubs including email campaigns, invitations, campus flyers and room bookings on campus
* Maintain regular communication with other Bain offices regarding logistics for marketing and events and act as the on-site coordinator/representative
* Provide clear, timely responses to consulting staff involved in recruiting (e.g., interviewer schedules, managing commitments, recruiting events, etc.)

Other Logistical Support

* Assist in events commitments process for all Consultant and Associate Consultant recruiting events
* Utilize Avature for data entry, event management & reporting in a timely and accurate manner
* Analyze post-event data
* Attend team meetings and schedule follow-up meetings as necessary
* Perform other administrative duties as requested or as responsibilities dictate
* Support new and innovative initiatives as needed
* Attend live events as need to provide day of support

Qualifications

* Bachelor's degree preferred
* 1 year of administrative and/or event planning experience, preferably in a professional services firm, or combination of educational and work experience
* Outstanding interpersonal, written/verbal communication, customer service and organizational skills
* Ability to thrive in a fast-paced and changing environment
* Ability to demonstrate good judgment and handle highly confidential information in a professional manner
* Work collaboratively as member of the Global Recruiting team
* Ability to meet deadlines, prioritize assignments, and juggle multiple tasks simultaneously
* Proficiency in Microsoft Windows, Outlook, Word, Excel, and PowerPoint
* Highly motivated self-started with strong customer service focus
* Flexibility with hours; ability to work overtime and evenings as needed
