Job Description

Accounts Payable Specialist

Required: Detail-oriented, team player, customer focused

Preferred: 2 years of experience in general bookkeeping or degree in accounting

Job Summary:

Handles all functions related to Accounts Payable.  Also, provides support to the Accounts Receivable Clerk in processing high volumes of third party payor payments.  Works closely with all members of the Finance Department to ensure the smooth flow of operations.

Essential Functions      50%

I Essential Job Duties  

• Processes invoices supported by purchase orders, assign invoice numbers to purchase orders.  Reviews the invoices to prevent duplicate payments, to ensure proper amounts are paid and the correct accounts are coded.  Follows up with Material Management to determine the reasons for the discrepancies and how to remediate in Meditech.  

• Processes all invoices in Meditech.  Paper invoices are scanned and attached to the correct electronic invoice.  Invoice Batch report detailed listing is forwarded to the Sr. Accountant for final approval and posting.  

• Creates and posts scheduled payments.  Notifies the Controller when A/P is ready for check printing.  Distributes and mails A/P checks.  

• Manages all aspects of Accounts Payable.  This includes understanding recurring payments and the operating and leasing agreements that support such payments.   Investigates issues or concerns and responds promptly.  

• Evaluates invoices that lack purchase order documentation.  Forwards invoices to Department Managers for authorization and general ledger assignment.  Once approved, processes these invoices in the Meditech System.

III Compliance with Rules, Regulations and Policies  

• Records pertinent documentation in accordance with regulatory requirements, professional standards and hospital policy.  

• Adheres to federal, state and hospital rules and regulations concerning HIPAA privacy and security.  

• Follows Hospital compliance plan and policies, including the Code of Conduct.  

• Participates in required training for compliance related activities (HIPAA, Compliance, Patient Safety, TJC, etc.)  

IV Unit Specific Duties & Responsibilities / Day to Day Operations

• Distributes mail to appropriate members of the Finance Department on a daily basis.  Opens and sorts mail relevant to Accounts Payable.  

• Resolves problems detected by the Staff or Senior Accountants.  

• Posts third-party payer payments on a daily basis.  

• Demonstrates ability to maintain policies, procedures and systems.  Understands the importance of confidential information and the consequences for violating such confidentiality.  

• Participates in continuous quality improvement of the Finance Department, including further automation of accounting functions.  

• Makes trips to the bank and Post Office as needed.  

• Prepares and mails IRS Forms 1099 and prepares electronically the Form 1096.  

• Assists in other areas of the Finance Department as needed.
