This position reports directly to the Human Resources and Purchasing Manager.  Peers include the Storeroom Supervisor,

Plant Services Manager and the Assistant HR Manager. Salary Non-Exempt Status.

Job dimensions

Responsible for carrying out work assignments as directed by the Human Resources and Purchasing Manager.  Responsible for assisting the Corporate Purchasing Buyers, Storeroom Supervisor, Plant Services Manager and the Assistant HR Manager in all functions as authorized. Primary backup to Storeroom Supervisor duties including supervision of (3) three hourly union employees.  Responsible for payroll processing and the collection of time worked and other data pertinent for correct payment of 178 hourly payroll. Responsible for the collection and reporting of salary non-exempt overtime to be paid.  Responsible for monthly safety hours reports for the accumulation and reporting of plant safe hours.

Activities

·  Process orders assisting the Corporate Purchasing Buyers, Plant Services Manager, Storeroom Supervisor and plant buyers.

  • Resolve problems as they arise and converse with vendors and purchasing as needed to resolve those problems.

·  Generate reports to expedite open orders and communicate with vendors outstanding deliveries.

·  Assist in internal and external audits of purchasing department and procedures to maintain ISO compliance and certifications.

·  Quality Control duties; daily coordination with Plant Services Manager of raw materials, update and maintain Supplier Complaint Reports, Certificates of Analysis, Vendor and Contractor insurance documents, security clearances for plant entry requirements, Supplier Quality Survey Forms, Attachments for orders, Raw material entry and tracking of trucks, barges and railcars, assist in the resolution of raw material delivery problems.

·  Daily mailroom duties for incoming and outgoing mail.

  • Provide support of Corporate Purchasing Buyers & plant requisitioners as authorized. Manage plant site bid openings & logs
  • Provide support of Human Resources as authorized.
  • Provide support of Storeroom as authorized.

Backup Storeroom Supervisor duties include; Supervision of (3) three hourly union employees.  Process requisitions of daily storeroom transactions.  Assist in inventory evaluation & cost savings meetings to identify areas of cost avoidance/savings.

  • Provide support of Plant Services Manager tracking raw materials shipments, barges, trucks, railcars.
  • Provide support of Administrative duties as authorized.
  • Comply with and monitor proper department procedures as authorized.
  • Participate in safety processes and monthly meetings.
  • Verify data input KRONOS schedules of hourly employees, punch information and pay codes for correct payment to employees, prior to submission of payroll on bi-weekly basis and reconciliation of KRONOS data on weekly basis.  Collect and verify the associated paperwork contains appropriate information/signatures and maintain employee payroll files.
  • Submit hourly payroll hours on bi-weekly basis to SAP for processing.  Run reports for all categories of deductions to test payroll dollars for reasonability to insure payroll is correct.
  • Annually prepare spreadsheets to be submitted into SAP for payment of safety shoes to hourly employees.
  • Reimburse hourly employees for safety glasses new/repair per the active union contract.  This information is maintained in Excel and entered into SAP for payment through payroll.
  • Pay sickness and accident pay to hourly employees away from work due to illness or accident.
  • Provide upon request, reports to plant manager, supervisors, both hourly and salary, reports from KRONOS data related to absences (vacation, illness, company business) or other metrics (overtime, missing hours, etc).
  • Provide KRONOS badges to new employees and replace lost or nonfunctioning badges.
  • Complete and submit to the Plant Manager on a monthly basis the Absent & Work Hours Report.
  • Update the Safety Days file monthly.
  • Act as primary Kronos Headcount support during plant drills and emergencies.

 

Context and environment

The incumbent works with the purchasing buyers to verify pricing of merchandise and vendor account maintenance.  This position is a backup for the Storeroom Supervisor to manage stores inventory, verify receivables, returns, and deliveries.  The position also supervises Storeroom Technicians providing order and delivery information.  Works with Logistics, Forane, Lab, 134A and Kynar departments coordinating correct certificates of analysis to meet required specifications.  Works with the Accounts Payable Clerk and the Engineering department request for quote process. The incumbent works with various service providers, vendors and contractors maintaining plant entry requirements. The incumbent must comply with applicable federal, state, and local regulations, safety, environmental, and quality standards, and corporate policies.

· Timely processing by due date in order to insure good working relationship with vendors

· Good communication skills are necessary for dealing with internal customers as well as vendors to resolve problems.

· General knowledge of Corporate and Plant Policies and Procedures and systems.

Qualifications / experience required

The incumbent should possess: procurement experience, accounts payable experience, B.S. Degree preferred but not required, working computer skills (knowledge of SAP, Kronos, Word, Excel, and Project Accounting would be helpful), excellent communication skills (including verbal, interpersonal, and written for interactions with fellow employees and outside vendors), and initiative judgment and knowledge of established procedures for procurement purposes.
