Job Description

Facility Maintenance company in Dania Beach, FL with over 20 years in the industry providing remodeling and facilities maintenance services to the retail and restaurant markets is currently seeking a qualified candidate to fill our Account Coordinator position.

OVERVIEW: The Account Coordinator reports directly to the Account Manager and will support by executing and delivering on a range of responsibilities including dispatching, and managing service calls, communicating with our key clients, vendor sourcing and managing, and other operational tasks.

Expert level communication skills are required as you will be working with internal and external stakeholders on a regular basis to ensure efficient flow of the work process.

The ideal candidate is one who is interested in developing and strengthening their operational and project management skills in an entry level role.

KEY RESPONSIBILITIES:
Client/Program Coordination Management:
• Correspond with Client parties via email and phone.
• Receive and evaluate scope of work to be performed on Work Orders assigned.
• Planning, tracking and updating schedules with vendors and clients.
• Efficient close out of projects to meet client due dates.
• Daily progress reporting to internal work order management system and department manager.
• Daily progress reporting and support to clients and client portals.
• Meet internal and external client deadlines as requested.
• Ensure all communication with clients and vendors meets All American Facility Maintenance professionalism and standards.
Vendor Management:
• Selecting, directing and managing ideal vendors from our vendor pool to assign specific repairs as needed.
• Coordinate with vendor management team to plan, schedule and carry-out services to completion: seasonal projects, contracted maintenance, reactive/out of scope services.
• Monitoring vendors while work is in progress, through constant phone calls.
• Ensure that service providers are following processes and returning all required documentation trade/work performed
• Assist in sourcing, hiring and maintaining a reliable network of vendors to support timely turnaround of service calls.
• Vendor coaching and training protocols and procedures for successful dispatch.
Document Coordinating:
• Collecting and reviewing required documents to effectively close out each project.
• Filing of documents to the required records folder, designated storage, and departments.
• Work with team to coordinate on shared documents and group projects.
Material Coordinating:
• Source, purchase, expedite and track material parts.
• Perform other duties as assigned.

QUALIFICATIONS/REQUIREMENTS
Education:

High School Diploma or G.E.D. Associates Degree in Construction or Project Management is desirable but not required.
Experience:
• Ideal candidate comes with up to 2 years of experience in retail, construction, commercial general contracting, project management, vendor management or account management.
• Demonstrated customer service excellence.
• Extensive use of computerized client management systems.

Knowledge:
Microsoft Suite of products including Excel, Outlook, Word, FacilIT, Big Sky, Service Channel and or FMPilot v2.0 would be a major plus.

Skills:
• Must have expert level communication skills, verbal and written skills, ability to comprehend and construct correspondence, listening skills, telephone skills, persuading and negotiating skills, information gathering skills, presentation skills, supporting skills, and the ability to accept criticism.
• Must be willing to work both independently and in a team atmosphere
• Responsibility for follow-up on actions based on the various projects being managed.
• High organizational skills in managing multiple projects simultaneously.
• Building strong internal and external relationships with the team, vendors, and clients using effective verbal and written communication.
• Recognize and act on changes in Work Order status to expedite the change process.
• Flexibility and willingness to learn and work on different tasks as needed.
• High attention to detail within fast-paced environment.
• Must have eagerness/ability to adapt to procedural/administrative changes.
