In this position you will be responsible for working closely with assigned vendors and internal customers to build and enhance relationships that help the department remain Industry Leading. You will negotiate and execute department contracts, work with IT Security to complete Assessments, handle customer service inquiries, research & develop new products and services, stay up to date on competitive intelligence, and provide reports and analysis to customers and management.
Interfaces with internal and external customers (agents, medical vendors, and doctor offices) via email, telephone, face to face and mail to resolve vendor related issues, complaints, and questions using independent judgment and decision making.
Ensures the team's service level agreements are met in response to contracts, customer service, research and development, etc.
Obtains and evaluates all relevant information necessary to handling the issues and concerns properly.
Works with the Vendor Management Manager (VMM) to maintain documentation for any communication and correspondence pertaining to vendor issues and feedback.
Tracks customer interactions, feedback, issues, and resolutions to every problem addressed in the feedback log.
Communicates with service providers to address issues, challenges and changes brought forward from internal and external customers.
Participates in the contract review process, which involves evaluation of all vendors based on supplier background information (Financial, Performance metrics) and supplier capabilities (General functions, technology) pricing and incentives. This information will be provided in the format of Request for Information's (RFI) and Request for Proposals (RFP).
Works with Legal, vendors, and business units to administrator contracts and seek final approval from the VMM.
Monitors and assists with developing the vendor's monthly performance scorecards, verifies monthly vendor scorecard based on service level agreements and working with the VMM to review over log weekly to ensure vendors are held accountable for service issues.
Identifies documents and notifies the Accounts Payable Analysts when penalties need to be deducted from invoice statements.
Works with VMM to ensure New Business Solutions can accommodate vendor connectivity and support technology initiatives to enhance overall service.
Ensures vendor connectivity is put in place after contracts are executed.
Designates team members responsible for handling the NBVendorMgt inbox.
Attends monthly Vendor Forum calls and seek competitive intelligence information.
Gives presentations in front of internal and external customers.
Helps to create business proposal when needed for Project Management resources for initiatives.
Setups and handles monthly vendor calls and pulls in VMM as needed to review feedback log with vendors.
Negotiates, manages and opens up new accounts with vendors due to new contracts, and providing account information when necessary to the accounts payable analyst.
Builds a stronger relationship with Executive Benefits to see how we can better serve their vendor needs.
Develops and supplies needed information to team to help with running performance metrics reports, pricing analysis, and other routine reports.
Works with IT Securities to ensure all vendors complete and pass their IT Assessments to ensure our client's information is protected.
Handles all excess fee exceptions and researching to see if there is any flexibility in the cost of the services and approving or pushing back.
Reviews lost records or missing information that was requested by the cross-functional teams that should have been received already.
Forwards any invoices received to Accounts Payable Analyst.
Process and research invoices as needed.
Keeps procedures up to date and stored on the repository.
Schedules and provides agenda items for the regular ILU team huddles when necessary.
Tracks information in LifeWriter on cases related to ensure proper records are being kept for all issues.
- Undergraduate degree or 4+ years of comparable work experience; education concentration in computer science preferred
- Educational experience and/or proficiency in Microsoft Excel
1-3 years of experience in customer service, contract management, accounts payable, life underwriting and New Business operations that directly aligns with the specific responsibilities for this position.
A demonstrated track record of consistently meeting and/or exceeding performance expectations.
Possesses a bias for action and avoids workplace distractions
Drives performance targets to completion.
